Job description: American Conservatory Theater, one of the country's leading regional theaters and actor training institutuions.

Responsibilities:

The Administrator will be the point person for the core resident company and visiting artists, including managing schedules, travel arrangements, and coordinating participation in internal and external events, including post-play discussions, open rehearsals and events as requested by other departments. The Administrator will also serve as the primary liaison between the Artistic Department and the Conservatory Training Program regarding the use of students and “shared” artists, and also as the primary source for reliable communications to and from the Artistic Department and the organization as a whole.

As the principle administrative support for the department, the Administrator will manage the Artistic Director and Associate Artistic Directors’ calendars, in addition to handling travel arrangements, telephone calls, correspondence (incoming and outgoing) and special assignments. Such assignments may include research, identifying and locating artists, initiating contact with agents, directors, artists and others, tracking and following up on such contacts as necessary, and providing administrative support for visiting artists, if requested. The Administrator must be able to use judgment in filtering the demands on the Artistic Director’s time, referring those people with matters only the Artistic Director can address and fielding all others. The Administrator will schedule and attend Artistic Team Meetings and retreats and other meetings involving members of the Artistic Department and will take minutes, and prepare, distribute and follow up on matters as required.

The Administrator will maintain all office systems, including correspondence files, archives (scripts, sound files, etc.) and artist files. The Associate will monitor the Artistic Director’s hotline, responding to inquiries made by patrons and others, and may be called upon to represent the Artistic Director in letters or calls from patrons with concerns or complaints. The Administrator will also oversee the use of the Artistic Director’s house seats in coordination with company management and process ticket requests for artistic staff and house seat and professional comp requests. The Administrator will also be responsible for processing and tracking artistic department expenses, reimbursement requests, and petty cash funds, and will assist in the preparation of the monthly reconciliation and forecast process.

Working primarily with the Associate Artistic Director, the Administrator will provide producing and management support to the new plays/second stage programs, including logging, archiving, reproducing and distributing scripts, assisting as needed with readings, workshops and staged productions, coordinating with front of house, box office, production, marketing and others. Additionally, the Administrator will act as project manager for audience events, such as Audience Exchanges and SMAT Chats (Student Matinees).
Req. candidate profile : Qualifications:

The ideal candidate will possess an extensive theater background, combined with excellent interpersonal skills, strong organizational abilities, excellent verbal and written communication skills and the ability to anticipate the needs of multiple constituents. The work is often highly sensitive and requires diplomacy and tact; contacts with major artists, donors, board members and international visitors requires patience and commitment. This position requires a self-starter whose aesthetic is in concert with A.C.T.’s and who has an appetite for large institutions and a gift for communicating across departmental and artistic lines.
