The Receptionist/Administrative Assistant will be responsible for directing phone calls and visitors, maintaining administrative systems in the office, assisting with clerical tasks and providing direct support to senior staff. She or he will also be asked to assist PR staff with research projects and client-related tasks. This position requires full-time attendance at the office.
Essential Responsibilities/Duties:
Answer phones & forward messages
Greet visitors
Manage incoming & outgoing faxes, mail, and messenger services
Copy and assemble media packets
Order & organize office supplies; manage subscriptions
Maintain copier, postage machine & printers; work with service technicians and other vendors such as cleaners
Maintain office upkeep by working with building management and subtenants
Make travel arrangements for senior staff
Set up and facilitate conference calls
Coordinate intra-office schedules and plan and coordinate office events
Perform errands as needed
Manage time tracking system for NY office; enter hours for senior staff; run regular reports of staff time hours
Conduct Internet research on potential new business accounts and client issues
Format and copyedit memos, proposals and other presentations
Other clerical, technical & office support duties as assigned.
Req. candidate profile :
Essential Qualifications:
Must have a pleasant and professional phone manner; be detail-oriented, good with numbers and copyediting, organized and able to juggle multiple priorities. Willing to learn basic office equipment maintenance and office systems. Working knowledge of computers, Microsoft Word, PowerPoint and Excel, e-mail and Internet is required; experience in a networked, office environment helpful. Flexible, self-driven, team player.
