Build It Green seeks a full-time Program Assistant to assist the Green Home Tour program that promotes the design and construction of green buildings in California’s single and multi-family residential sectors.
Build It Green Mission is to promote healthy, energy and resource-efficient buildings in California. Supported by a solid foundation of outreach and education, Build It Green connects consumers and building professionals with the tools and technical expertise they need to build quality green buildings.
RESPONSIBILITIES AND DUTIES:
This position requires a flexible schedule, as some responsibilities involve evening and weekend activities.
The successful candidate will be expected to perform the following:
- Assist and support program staff in the development, production, and promotion of Green Home Tours. This may also include assistance for meetings, mixers and events ranging in size from 20 to 2,000 participants.
- Recruit, coordinate and manage tour day and in-office administrative volunteers for Green Home Tour program as well as all Build It Green programs.
- Coordinate Green Home Tour volunteer orientations. This includes venue selection, event logistics and on-site management (setup, registration and breakdown).
- Solicit, track and manage event donations. Perform phone and internet research as needed
- Assist in the coordination and management of point-of-purchase locations, guidebook deliveries and guidebook mailings. Respond to customer inquiries, process refunds etc. in a timely manner.
- Support information management and tracking activities for the program: applications, volunteers, donations, guidebook sales, signage, supplies, venues, caterers, outreach/PR contacts, evaluations etc.
- Consult with technical staff on content relating to guidebook case studies and event signage.
- Assist in the production and assembly of event materials (guidebook maps and directions, event signage, flyers, handouts, agreements, evaluations etc.)
- Support planning, marketing, and public relations functions. Assist promotion efforts through e-mails, cold calling, and mailings.
- Provide additional administrative support as needed: faxing, copying, mailing/shipping, document formatting and editing, proofreading, file management, supply inventory, answering phones, email correspondence, purchasing supplies, greeting guests etc.
- Develop and update PowerPoint presentations for Green Home Tour program.
- Participate and consult with events team to ensure all Build It Green programs, trainings, and events are planned and managed in an environmentally-responsibly manner.
- Represent Build It Green at public outreach events, often involving evening and weekend activities.
- Keep abreast of latest developments in the green building field by reading various green building-related publications and relevant lectures, classes, and workshops.

QUALIFICATIONS AND EXPERIENCE:
- Proven commitment to addressing a variety of environmental and public health issues and an appetite to learn about the rapidly evolving field of green building.
- Proven organizational skills, attention to detail, and project management experience.
- Experience with event planning, meeting arrangements, and general administrative procedures.
- Customer service orientation. Friendly, outgoing nature and an eagerness to serve Build It Green visitors and the public interest.
- Ability to work in a fast-paced environment, handle multiple tasks and projects independently.
- Ability to problem-solve, to take initiative, to take on responsibility and to prioritize work on multiple projects.
- Excellent writing, editing, and communication skills.
- Self-sufficient computer skills: experience and competence with MS Word, MS Excel, MS PowerPoint, and Windows operating system a must.
- General knowledge of green building design, marketing experience and/or event coordination a plus.
EDUCATION AND BACKGROUND
Baccalaureate degree from an accredited college or university program. Environmental and/or Green Building background and training desirable.
