The Executive Assistant for Publishing helps the Editor in Chief and department managers to meet publishing-related contractual requirements, manage and develop budgets, and perform the research necessary to plan publicity and marketing and to manage book sales. The Executive Assistant makes sure that materials submitted for the Editor in Chief’s approval are complete and accurate and support the publishing function. The position supervises an Administrative Assistant, who handles administrative tasks for the managers.
The Executive Assistant’s responsibilities include, but are not limited to, the following:
- Start and coordinate the P&L process for books proposed for acquisition; initiate updating of the P&Ls of published books on time for start of annual budget preparation.
- Review the terms of acquisition offers to be sure all rights have been covered before submitting to the intellectual property attorney for draft contract.
- Monitor or make legal inquiries, as needed, to ensure that documents, correspondence, or materials reflect advice from the Dana Press intellectual property attorney.
- Draft or prepare for signature formal hardcopy correspondence, such as transmittals of executed contracts and author advances and contract side letters.
- Assist, as needed, in gathering basic information on metropolitan areas, regional characteristics, and media relevant to specific book subjects for publicity and sales targeting
- Review book sales weekly to observe regional or individual bookstore activity and to enable correlation with targeted publicity or promotions.
- Set up and maintain national and regional publicity archives.
- Research, as needed, the business status or other questions about potential new vendors or vendors whose services may be changing.
- Review acquisition approval requests to be submitted to the chairman to make sure they are complete, including P&L, market review, author information, and author’s proposal.
- Review contracts submitted for the Editor-in-Chief’s signature, distribute executed contracts to departments involved in compliance, and maintain legal files.
- Research, as directed, data on metropolitan areas and regional characteristics relevant to specific book subjects for targeting sales and co-ops.
- Assist as needed in preparing supporting information for special budget requests.
- Supervise an Administrative Assistant.
- Other duties, as required.

Requirements:
- Preference given to work experience in the publishing field.
- Minimum five-ten years’ experience, reporting to senior executives.
- Must be highly articulate, poised, resourceful and savvy; able to communicate effectively with book authors, executives, and all levels of staff.
- Ability to manage up, down and laterally.
- Demonstrated, effective organizational skills with the ability to multi-task and follow-up.
- Proficiency in Word, Excel and Outlook Express.
