The Receptionist is responsible for providing clerical/administrative support for the administrative office of MHA of NYC, Inc and reports directly to the Office Manager/Executive Assistant. This individual acts as one of the agency’s initial points of contact and is expected to provide exceptional customer service.
Receptionist duties:
Provides reception phone coverage (incl. distribution of messages to staff)
Collect and distribute correspondence as required (mail -- external and interoffice, fax or email)
Maintain inventory supply for kitchen and administrative office
Schedule and maintain conference room calendar
Oversee the maintenance of a professional and tidy appearance of the kitchen and conference room
Payroll/Time sheet collection services and follow-up
File, photo copy, and fax documents as needed
Field all deliveries (UPS, FedEx, DHL)
Back-up for Executive Assistant
Perform other related duties as assigned
Post outgoing mail
Provide clerical support for finance department as needed.
Req. candidate profile :
Qualifications:
Minimum one year experience in clerical support position; excellent organizational skills, detail oriented and ability to multi-task.
Professional attire and phone etiquette.
Computer skills (MS Word, MS Excel data entry/retrieval, e-mail, Internet) necessary. Reliable, dependable, patient and courteous.
Sensitivity to individuals who have mental illness, substance abuse problems and other underserved populations.
