Job description: TechSoup is a nonprofit organization that helps other nonprofits acquire and use technology to better serve their missions. We are working toward a time when every nonprofit and NGO on the planet has the technology resources and knowledge they need to operate at their full potential. Through our Website, nonprofits will find a broad range of software donated by leading tech companies such as Microsoft, Cisco, Symantec, Intuit, and Adobe, along with content and community forums targeted specifically at a nonprofit audience.

The Executive Assistant (EA) will provide administrative support to a minimum of three executive team members, with some additional executive support as relevant and appropriate. The EA will also work on an administrative team to assist and support the Executive team (Eteam). The Eteam is currently comprised of five executives. The Executive Administrative Team is team-based, whereby the (EA) will have responsibility to provide support to assigned Executives and provide additional support to other Executives. The EA will Report to matrixed management and will receive requests and assignments directly from an Executive, and from the EA Manager. Each EA will be encouraged to develop specialty administrative functions.

Some of the duties will include the following:

  • Coordinate complex schedules and calendars
  • Arrange intermittent travel (domestic and international)
  • Create and submit expense reports using proprietary organization database
  • Plan meetings, conference calls or events while proactively ensuring that all logistical details are executed upon
  • Support and professionally represent by phone and e-mail efforts of executives with customers, donor partners, third parties and other TechSoup executives and departments, taking on increasingly more complex activities and projects and greater responsibility
  • Order and pick-up lunch for weekly Eteam meeting and lunch or coffee for other possible meetings
  • Prepare materials and take notes for meetings as needed
  • Continuously improve departmental administrative processes and streamline procedures. Ensure smooth administrative operations
  • Research, prepare, review, and summarize miscellaneous reports and documents; prepare background documents as necessary for the Executives and brief as appropriate
  • Provide follow up to assignments given to staff by the Executives; provide status reports to the Executives
  • Work on special projects for Executives as necessary
  • Discreetly handle highly confidential/sensitive information
  • Enhance, update, and maintain filing system for the Executive
Req. candidate profile : Required Skills/Traits/Values:

  • 3 plus years in busy, creative office environment, supporting equally competing priorities for directors and executives.
  • Excellent written and verbal communication skills highly desired
  • Experience working with Microsoft Outlook required
  • Proficient with Microsoft Office: Word, PowerPoint, and Excel
  • High level of discipline and trust necessary
  • Creative and strategic problem-solver and interest in developing deeper knowledge and expertise in TechSoup’s work
  • Ability to take initiative and anticipate executive and departmental needs and respond appropriately.
  • Ability to analyze data, make recommendations for improvements, and implement changes
  • High energy, high initiative and an ability to enjoy being challenged
  • Strong attention to detail a must
  • Professional presentation and approachable demeanor
  • Strong interest in working in the nonprofit sector
  • Strong interpersonal, organization and time management skills, with the ability to prioritize and handle multiple tasks in an extremely fast-paced and constantly changing environment
