The Frank Lloyd Wright Preservation Trust, based in Oak Park, IL, operates two internationally known house museums and is recognized as a leader in the restoration and preservation of historic sites, education, research and museum retailing.
Plans and supervises group travel experiences as part of the organization’s educational mission. Develops and coordinates special events and development department events.
DUTIES:
- Research and assess relevant international and domestic travel opportunities. Develop and execute sales plan. Assist in identification of target markets and development of marketing plan. Actively market and sell the travel programs.
- Plan and secure all components of selected travel programs: finalize itineraries; book transportation, lodging, local guides, hosted meals, etc; arrange for payment of deposits. Collaborate with corporate sponsors on elements related to their sponsorship. Manage year-round scheduling of travel to complement overall organizational calendar and goals. Investigate any extraordinary security or insurance requirements.
- Prepare comprehensive budget and evaluation for each event with the goal to generate earned income for the Preservation Trust.
- Manage participant reservations, including processing of deposits. Assist and advise customers about passport and visa requirements, inoculations, accommodation of dietary/cultural/physical needs, etc. Respond to inquiries about upcoming travel opportunities. Manage waiting lists for future excursions.
- Accompany groups on tour as assigned. Provide thorough advance orientation to other travel escorts, providing copies of documents and written procedures as needed.
- Execute special events: working with other team members plan, develop, publicize, and evaluate organizational events such as receptions, dinners and other friend- or fund-raisers and public events. Carry out specific components of events as assigned: invitations, booking speakers or entertainment, supervising/participating in set-up, or other.
- Work with marketing staff to produce print materials, promotional pieces, invitations, programs, orientation materials and other collaterals as assigned.
- As a team member of the Preservation Trust, demonstrate positive interpersonal skills that promote open communication, friendliness, respect for all positions, and maintenance of confidentiality and success of the organization.

QUALIFICATIONS:
Demonstrated expertise in destination management and/or domestic and international travel planning, including familiarity with air and ground transportation systems in foreign destinations. Some experience in event planning required. Must have minimum of bachelor’s degree with working knowledge of MS Office. Both roles require outstanding customer service and presentation skills.
