Job description: Minimum 3 month contract for a Receptionist in Airdrie

Receptionist/Administrative Assistant
(3 Month Temporary Assignment)


Reporting to the Human Resource Manager this position is responsible for providing reception services for the plant and administrative support to departments/management teams.



Specifically, the successful candidate in this position will:



Manage the reception area, greet visitors, maintain Visitor Badges/Visitor Log. Inform visitors of Environmental/Quality/Fire Evacuation Policies. Receive & re-direct phone calls for the Airdrie location also re-direct calls.

Manage the phone system: 12 lines, voice mail maintenance & programming.

Print, sort & distribute schedule receipts together with supply drawings & reports for manufacturing parts.

Maintain up-to-date & accurate information in the drawing vault & related database.

Purchase all stationary supplies & maintain the stationary storeroom on a timely manner.

Generate, post sales, birthdays, welcome, etc. electronically to all on a daily basis.

Point person for the janitorial services, monitoring cleaning duties of the Cleaners ensuring guidelines are being followed.

Maintain Copy Room supplies; refill copier paper tray; have photocopy paper stocked in cupboard

Maintain monthly Purchase Receipts reconciling Pro Card Statements for my Dept.
Distributing monthly Pro Card Statements directing them to the Accountant after reconciling.

Sort & Distribute daily incoming mail. Put postage on all external mail and prepare for pick-up

Purge report weekly assisting the Accountant Dept.

Book meeting rooms, order meals as required

Perform other duties as required.



The successful candidate will have a minimum Grade 12 or equivalent education with additional post-secondary courses in secretarial/administration with evidence of continuing professional development. Along with a strong working knowledge of MS Office and database software, the chosen candidate will possess a working knowledge of office equipment such as photocopiers, postage and fax machines, printers, etc.



To be successful in this role, the candidate must have excellent communication and interpersonal skills, demonstrated problem-solving abilities, effective time management, prioritization and project management skills.
