Provides administrative assistance in the areas of employment, salary and benefits administration and other employee relations events. Records and research data and furnishes reports through our HR program. Provides front desk and administrative support to the Manager and supports the Operations team when necessary.
Specific Responsibilities:
Human Resources
Updates company policy’s and procedure
Researches compensation, benefit and other comparative data for Management Committee each year.
Researches ongoing information for international benefits administration.
Coordinates the administration of the compensation program and monitors the performance appraisal process.
Coordinates recruitment efforts for exempt and nonexempt staff by screening resumes and scheduling interviews and performing reference checks when appropriate.
Handles and coordinates the Intern’s Program of the company
Prepares offer letters, Performance Action Form (PAFs) and other correspondence for Associate Director’s signature.
Prepare new employee orientations and ensuring that all requirements for a new staff members are fulfilled
Schedules orientation sessions with other departments to ensure all new staff are familiarized with all programs of the organization.
Enrolls all new staff members into our benefits programs.
Assists staff members on benefit related inquiries and needs
Purchases, monitors and distributes transit checks to staff, interns and consultants
Manages the attendance and vacation updates for all staff members.
Collects and validates time sheets and submits to Finance for posting
Coordinates with Finance for all accounting payroll entries for payments
Supports department or division initiatives through project coordination, report/presentations, data compilation and others
Handles the Human Resources Information System (HRIS) Abra Suite
Initiates or responds to e-mail as appropriate for departmental business.
Reviews and prepares expense reports for Human Resources
Maintains all personnel files, payroll transactions and contracts
Performs other tasks as assigned by the Manager.

Front Desk Duties:
Meets and greets all visitors and ensures the appropriate staff person is contacted.
Answers the general telephone and general mailbox when necessary.
Takes daily attendance of Synergos staff.
Receives all incoming deliveries and documents and ensures the timely delivery to recipients
Sorts and distributes mail and incoming fax
Records all incoming checks from donors and provides copies to Development and corresponding program and ensures that the check is routed directly to Finance
Manages the express mail and messenger services at front desk.
Manages and responds to Synergos general e-mail
Updates and distribute personnel listings on a monthly basis.
