Provide, with minimum supervision, confidential administrative support to the Vice-President and the team, in order to ensure smooth departmental operations. Work closely with the Vice-President in order to ensure maximum management of your time.
Job duties:
Key Areas of Responsibility (ranked by order of highest priority)
Carefully monitor agenda/e-mail for the Vice-President. Make appointments and organize meetings according to specific requests, by anticipating all necessary conveniences. Act as constant liaison between the Vice-President and all members of the team, and with customers/suppliers, while demonstrating tact and professionalism
Provide the following administrative services: preparing documents and materials for meetings and presentations; screening/handling correspondence, requests and phone calls; drafting letters and information pieces in both official languages. Translate if needed.
Coordinate all travel arrangements for the Vice-President and offsite department meetings (itineraries, airfare, hotel accommodation, car rental, etc).
Accounting/budget: Update management files, prepare expense reports, verify department expenses, provide follow-up, and make sure invoices are processed. Help Accounting prepare certain budget-related documents
Collaborate with HR with regard to employee records, i.e.: evaluations, hiring, terminations and time reports
Req. candidate profile :
Education, Experience and Technical skills
Diploma in secretarial or office automation. 2 to 5 years experience as an assistant or administrative assistant Advanced English skills, both spoken and written Advanced knowledge of Excel, PowerPoint, Word and Lotus Notes Solid Internet skills
