Job description: Employment Services. MUST HAVE at least 2 - 3 years RECENT experience as an Administrative Assistant. MUST HAVE excellent Advanced or intermediate skills in Lotus Notes, MS Word, Excel, Powerpoint, and Access. Type at least 40 WPM, have excellent oral and written communication skills, be professional, able to prioritize, and be detail oriented. Will assist department managers with scheduling, calendaring, appointments, travel arrangements, and misc. administrative clerical duties. Applicants will be tested on computer software and typing. Pay will depend on skills, test scores, and experience.
Job duties: Routine admin duties include:
Supporting Business Relation Managers and upper management
Make and receive calls
Sorting and maintaining email distribution lists. appointment calendars, schedules and group calendaring.
Ordering supplies, filing, copying, faxing
Processing and monitoring purchase orders
Tracking timekeeping reports
Lotus Notes – extensive travel arrangements
Excel - employee expense reports, corporate credit card expenditures, cell phone statements and office invoices
Req. candidate profile : Multi tasked, Mature Minded, Adaptable to change in projects. Detail oriented. Frequent interruptions. Demonstrate ability to readily and easily respond to unexpected work events and circumstances.Take initiative, Good Judgment in handling highly confidential information. Works well under. Interact with all levels of management. Coordinating high volume meetings, travel arrangements, and conferences on Lotus Notes. Handle heavy work load.Power Point presentationsWord – typing letters and correspondence, knowledge of grammar and sentence structure, punctuation and the ability to exercise meticulous attention to detail.
