SUMMARY
o Monitor and separate system generated letters
o Responding to customer service/client requests and obtain your assigned Care work flow
o Run renewal filters once a day
o Update the Lite system with proper dates, updated plate numbers and comments
o Print and mail out Speedy reports
o Day-to-day communication and follow-up with licensing agents
o Must be familiar with state regulations
o Process billings/prepare vouchers daily
o Review state batch for accuracy and corrections
o Work with online systems to process renewals
o Identify stickers and mail to drivers/clients
o Answer incoming calls
ESSENTIAL DUTIES AND RESPONSIBILITIES
o Mail new registrations within 20 days of expiration. - Approximately 6,000 mailed out a year
o Baker guarantee- Mail new registrations within 7 days of expiration
o Maintain the renewal process for the following states: CA, GA, CT, AZ, and NJ
o Back up for the following states: WA, OR, WY, NV, ND, MN, KS, MO, AR, IN, KY, PA, MA, VA, SC, and Canada
o Run Lite and Fleet web reports daily to be proactive in up coming renewals.
o Scan out going registration cards for assigned states on a daily basis.
o All renewal letters must be given to the renewal clerk to be mailed the day they are run. (90 day letters run on the first of each month, 45 day letters run on the 15th of every month)- Approximately 35,000 letters are mailed out a year.
o Effectively communicate changes/exceptions to those with a need to know. (If tag agencies have raised their fees, Online renewal systems are not working, tools are not supplied to help you with your day-to-day work flow)
o If a customer question needs to be researched, closure must be completed within 24- hours. If more research prolongs the 24-hour deadline a status follow up call or email must be made back to the client or the customer service representative within 24 hours of the initial request.
o Assist in designing specific job procedures to improve efficiency and reduce burden on L&T.
o Support and contribute to process improvement efforts within L&T and throughout Donlen.
SUPERVISORY RESPONSIBILITIES
This job has no supervisory responsibilities.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months’ related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos.
Ability to write simple correspondence. .
MATHEMATICAL SKILLS
Ability to add and subtract two digit numbers and to multiply and divide with 10's and 100's. Ability to perform these operations using units of American money and weight measurement, volume, and distance.
REASONING ABILITY
Ability to apply common sense understanding to carry out simple one- or two-step instructions. Ability to deal with standardized situations with only occasional or no variables.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
