Project Administrator

About the job

Working as part of the Project Office, the Project Administrator will be responsible for assisting and advising Project Managers on the administration and reporting of all projects and programs while ensuring compliance with internal project management processes. You will be responsible for the set up and management of the company’s project management and travel expense collation systems, coordinate data and information, and prepare internal reports from various departments. You will also monitor and report on project performance indicators.

This opening is located in Conshohocken, Pennsylvania. The successful candidate will primarily support US-based Project Managers, with opportunities to work with the UK-based project teams. You will have a matrix reporting relationship to the UK-based Project Support Office Manager and US Finance and Operations Manager.

Job duties: Main responsibilities

•Proactively identify and initiate projects in our client’s systems
•Provide assistance to Project Managers in the set up and maintenance of project information
•Provide assistance to Project Managers for month end activities
•Liaise with Sales regarding project hand-over meetings
•Set up project closure meetings and prepare final data for meeting, undertake Lessons Learned exercises for completed projects
•Understand and be able to report project status for assigned Project Manager in their absence
•Attend project meetings and take actions/minutes when necessary
•Prepare and publish status reports to all levels of the business
•Collate accurate expenses for Project Manager approval and track progress
•Ensure the accuracy of the resources available and maintain it proper systems configuration
•Provide assistance and guidance to team members in the correct use of internal project management processes
•Continually monitor and improve Project Office processes and procedures
•Provide training and advice to the Project Managers on the use of systems and resource management
•Create, update and propose changes to User Guidelines for Project Managers, Administrators and Project Sponsors, for all processes around Project Management and its tools
•Look for and suggest or implement improvements to processes, reporting, tasks, etc. to help projects run more effectively.
Req. candidate profile : Skills/ Experience

•Knowledge and understanding of the configuration of the Planview system
•Excellent IT Skills, including high level of competence with Microsoft Office products
•Knowledge of project management methodologies (including Prince 2 and Agile)
•Understanding of project finances and reporting needs
•Understanding of Portfolio and Program Management
•Resource Management experience desired
•Methodical approach and good administrative skills.
•Awareness of ISO9001 and GLP standards desirable
•Ability to track project schedule, full understanding of project control practices (Risk Issue & Change Management)
•Understanding of project documentation processing and archiving
•Must be able to learn new technologies and organizations quickly, including the ability to understand and effectively partner with project managers.
•Excellent verbal and written communication skills (in English)
•Candidate must present a professional image to management, be able to articulate thoughts clearly, and produce high quality written and verbal products
•Works reliably, both independently and within a team environment, with limited supervision and guidance. Must display initiative.
•Must be detail-oriented, and possess a strong, results-oriented work ethic

Must be able to cope well with change in a dynamic environment and deal effectively with ambiguity while delivering quality results on time and within budget
