Job description: Mosaic Sales Solutions Canada is a sales and experiential marketing solutions agency that utilizes our considerable expertise, proven best practices and leading-edge technology to execute brand relevant selling, merchandising and event marketing programs across all retail channels and business-to-business.

We are currently recruiting for an Administrative Assistant to join our team.

Description:
As a member of the Experiential Marketing Team, you will be responsible for supporting the internal operations team and the client team. You will have a thorough understanding of internal processes and be carrying out these processes on a daily basis. This includes executing program related reservations and various client team requests. You will be working closely with the Procurement Manager to have in depth knowledge of supplier relationships. You will be responsible for processing supplier related invoices; actively communicating with the suppliers, finance and the client team to ensure that suppliers are paid according to schedule.
Job duties: Key Accountabilities:
• Invoice distribution and processing
• Supplier invoice resolution
• Supplier issue resolution and follow-up
• Vehicle rental reservations.
• Certificate of insurance requests.
• Security guard reservations.
• Vehicle accident guidance and insurance follow-up
• Supporting warehouse storage needs: invoices and issue resolution
• Miscellaneous operations team and client team requests

Qualifications:
• 2-3 years of administrative experience (preferred)
• College diploma in Business and/or Administrative Studies
• Extremely detailed oriented
• Demonstrated problem solving skills
• Highly organized
• Multi tasking skills
• Ability to work under tight timelines
• Strong communication skills
• Understanding of the importance of constantly improving processes to realize efficiencies.
